How to effectively manage your time

In general, our calendars are packed with activities related to work, family and social life. Often, these activities are related to trivial things – where our active engagement is not required to get the task done. If we want to effectively master our calendars, and thus life, we have to learn to master our time.

Here are a few pointers to help you take control of your time:

1. List all of your tasks and categorize them

You will want to start listing out each of the tasks, and then categorize them using a simple logic. While you can choose your own categorization logic, we recommend the following:

I have to be involved

I don’t have to be involved

I know how do it

Category 1

Category 2

I don’t know how to do it

Category 3

Category 4

2. Delegate the tasks/categories that do not require your active engagement

For each of the categories or tasks, evaluate if it can be delegated. Using our recommended categorization above, the following would be a logical conclusion.

Category 1: No delegation needed, due to the importance of your involvement.
Category 2: Delegate these tasks, for effective utilization of your time.
Category 3: Delegate the task for learning how to execute it.
Category 4: Delegate these tasks, no other option exists.

Also, delegate the tasks that are trivial or time-consuming. We, at YouDelegate, believe everyone deserves more free time, let us take care of your tasks so you can focus on things you love.

3. Determine amount of time to be spend on each task, and schedule your week

For tasks that can’t be delegated, consider different things that may impact time required to execute the task. Some of the tasks may require you to drive somewhere, some tasks may need to be done at a certain time, some tasks require additional details which you may not have yet. Based on all these factors, determine a suitable amount of time. For complicated tasks, prepare to dedicate at least one hour. Plan each day of the week, and list the tasks that you would want to complete on that day. Recommend planning the entire week, consistently doing so will improve odds of better managing time.

4. Avoid breaking the schedule

Sticking with the schedule will help you stay focused and will reduce distractions. In effect, this increases your overall efficiency. Breaking away from the schedule even once may seem inconsequential, but do not give in. Remind yourself of the long game, and the goal of mastering your time.

9 Benefits of a Virtual Personal Assistant

Who doesn’t enjoy the weekend with the people they love?  Don’t sweat the small stuff at the cost of quality family time. Our Virtual personal assistant can off-load your tasks and get it completed.

1. Organizes activities to free your time
A personal assistant can take care of many activities in your personal life. They can organize and execute on everything from online orders, scheduling a repair service/doctor appointments, planning a trip etc.

2. Tracks and follows through on complex tasks
According to a study , an adult’s short-term memory is limited. Duration of memory is less than half a minute and can store around 5 to 9 items at once. So, the longer you need to remember any activity that you need to do in the future, the more difficult it is to withhold information.

3. Manages remotely
Your personal assistant is a message away and can collect all info necessary for a set of tasks and start executing without your active involvement.

4. Helps you with the tasks you don’t like to do
Personal assistants are experienced in performing the task effectively and efficiently. Focus on spending your time on the things that you like doing by delegating the rest.

5. Acts as a second pair of eyes
A second pair of eyes allows better research of products and services, and facilitates wise decision making in accomplishing tasks.

6. Allows to get immediate relief
Get relieved immediately of the repetitive, tedious  and exhaustive tasks when you hire a personal assistant who is experienced in completing your task.
Some personal tasks may require you to teach the assistants, but it’s worth the time as you will enjoy  the fruits of their efforts.

7. Is flexible
Depending on family size, the number of personal tasks which can be delegated varies. You may choose the plan which fits your needs.

8. Allows multi-tasking with multiple assistants
Assistants work remotely across the globe in different time zones and multiple assistants are assigned tasks when the volume is high. This helps in tasks being done in parallel and gets the work done in a shorter time.

9. Allows you to be stress-free
Life is too short to enjoy to the full extent. Dedicate your personal life, time and energy on positive and vibrant activities.
